Entry and Access Control
☐ A trained, uniformed security guard is present at all entry points during working hours ☐ Visitors are required to show ID, register in a visitor log, and receive a visitor badge ☐ Visitor badges are collected on exit and logged ☐ Deliveries are checked and logged before entry — no unscreened delivery person enters the office floor ☐ Employee access to restricted floors or server rooms is managed by access card or key — not by trust alone ☐ After-hours access is restricted and logged — any after-hours entry requires authorisation ☐ Entry points are monitored by CCTV with footage stored for a minimum of 30 days
Guard Coverage and Supervision
☐ Guard deployment covers all working hours including early morning and late evening when cleaning or maintenance staff may be present ☐ A relief guard is available to cover the regular guard’s weekly off without leaving the entry unmanned ☐ Guards are rotated periodically to prevent familiarity-based access compromise (where a guard becomes too friendly with regular visitors to check them properly) ☐ A senior security supervisor or agency point of contact is available to you by phone during working hours ☐ An incident reporting mechanism is in place — incidents are documented, not just managed verbally
Parking and Vehicle Management
☐ Only authorised vehicles are permitted in the office parking area ☐ Parking allocation is maintained and unknown vehicles can be identified and challenged ☐ Visitor vehicles are parked in a designated area separate from employee parking ☐ Vehicles are not left unattended with engines running at any point
Emergency Preparedness
☐ Fire evacuation routes are clearly marked and all staff know their nearest exit ☐ Security guards have been briefed on fire evacuation procedures and their specific role in an emergency ☐ An emergency contact list is available to security guards — including building management, police, fire, and ambulance ☐ A first aid kit is available and accessible ☐ An emergency assembly point is designated and communicated to all staff
Female Employee Safety
☐ Female security guards are available on request for any situation requiring female-specific assistance ☐ Late-working female employees are offered a cab or escort to the building exit — or a security escort to the parking area ☐ POSH policy is communicated and accessible ☐ Female employees can report security concerns to a designated point of contact without going through male security staff
Information and Asset Security
☐ Sensitive documents are not left on desks or visible in common areas ☐ Printer output trays are cleared regularly — uncollected documents are disposed of in a cross-cut shredder ☐ IT equipment inventory is current — all laptops, monitors, and devices are asset-tagged ☐ Visitor access to server rooms, finance areas, and HR areas is restricted — no visitor enters these areas unescorted
Reviewing Your Security Vendor
☐ Your security agency is PSARA-registered ☐ Police verification documentation is available for every deployed guard ☐ ESI and PF contributions are being made for deployed guards — you have confirmed this ☐ Your contract includes a clear replacement protocol for absent guards ☐ An annual contract review is scheduled — you are not auto-renewing without assessing whether service standards have been maintained
If you found more than three unchecked items in this list, your office has meaningful security gaps that should be addressed before an incident occurs.
